Planning Your Destination Wedding at a Private Villa
A luxury villa is the perfect spot for a wedding or special event, and many of our villas offer the ideal space for celebrations and large gatherings. Each villa has its own unique setting, décor and architecture so that your wedding can be personalized to exactly what you are envisioning. As we guide you through this process, we have listed some things you should consider, as renting a private villa for your destination wedding is such a unique experience.
CHOOSING YOUR DATE
A good thing to keep in mind when choosing your date is that there are 3 “rate seasons” that could affect your budget. As a general rule, high season rates will apply November 1 through April 30 and low season rates will apply May 1 through October 31. The holiday season is considered mid-December through the first week of January and rates will be at a premium during these 2 to 3 weeks. Rates and rate seasons may vary by property.
Also, something to consider is that the rainy season in Puerto Vallarta is mid-June to early November. If you are planning an event during this time frame, keep in mind that you will want sufficient indoor space or an area amenable for a tent in case of rain.
CHOOSING YOUR VENUE
Whether you choose a beachfront ceremony or something on the hillside with spectacular ocean views, there is something magical about having Puerto Vallarta or Punta Mita as the setting.
Each of our villas varies in the amount of people it can accommodate for the event itself, so it’s good have an idea of how many guests you are expecting for the wedding and how many guests you would like to have stay at the villa. As the group size grows, keep in mind that this may limit the options.
If you are considering a beachfront ceremony, remember that beaches in Mexico are considered federal land and are therefore not private. Beach access may be more restrictive in some areas than others. We are familiar with all the beaches in the area and can advise you on the pros and cons of each one.
PLANNING YOUR BUDGET
A handful of villas will allow for a one day event; however, most villas will have a minimum night stay requirement, typically 3 to 5 nights depending on the time of year. You may want to plan on using the villa to accommodate friends and family in addition to having it as your venue.
In addition to the minimum night stay requirement, there will be an event fee associated with the villa rental, typically equal to the rate of one night’s accommodations. This fee may be negotiable depending on the event date, number of rental nights, etc. Please note that villas that will accept a one night event will price their event fee accordingly.
There will also be a refundable security deposit associated with the villa rental and the amount varies by villa. This deposit is collected ahead of your stay in case of any damage to the villa or it's contents. The deposit is usually refunded within two weeks of departure, provided there is no damage.
PLANNING THE DETAILS
Most villas require wedding couples to hire a local, pre-approved wedding planner to assist with the day of the event. The event planner will organize:
- Any staffing needs such as catering, bartenders, and waiters
- Rentals of tables, chairs, glassware, table settings
- Entertainment, flowers, photographer, decorations, etc.
- Most importantly, the event planner will be onsite on the day of the event to coordinate the arrival of all of the vendors as well as to make your event run smoothly. In addition to assisting you throughout the planning process and on the day of, having this person gives the villa owner peace of mind that all will run well, that the villa staff will not be overwhelmed and that vendors coming and going are reputable and reliable.

OTHER THINGS TO THINK ABOUT
The villa is set up to accommodate and serve the guests staying in the villa only. Therefore, there may be restrictions regarding outside visitors at any time other than during the wedding event. In order to have outside visitors (guests not sleeping in the villa), the villa owner or manager must grant permission and additional fees may apply. It is possible that outside guests may not be permitted to visit the property other than during the event. In that case, we suggest planning some activities off premises throughout your stay so you can enjoy the company of your group without restrictions. A day at the beach is one option or we can recommend some great group excursions for you.
Because most private villas are located in residential neighborhoods, there are noise restrictions at each villa, some as early as 11pm. This applies to entertainment, whether it be live music or DJ, and also to fireworks. If you want to have a party that goes later into the night, let us know so that we can suggest villas that are located in areas with fewer restrictions.
